The role

As an Associate Buyers Agent you work shoulder to shoulder with a senior Buyers Agent and own the engine room of the deal: sourcing, analysis, contract to settlement, and the client experience through all of it. You will touch every part of the APS Process, and every deal you help settle changes someone’s future.

Responsibilities

What you will own.

Five areas, across the full life of a deal.

Deal analysis and documentation

  • Analyse properties to determine their potential as deals, and prepare deal briefs with comparative market analysis and cash flow sheets.
  • Build a working understanding of the key factors driving value: location, market trends, condition, growth potential, risk factors and renovation upside.
  • Create comprehensive deal emails: deal information, cash flow sheets, photos, reports and vacancy rate attachments.

Sourcing and market research

  • Assist in sourcing properties that match the client’s sourcing criteria: budget, location, property type.
  • Liaise and negotiate with selling agents on opportunities.
  • Develop and foster agent relationships.
  • Build comprehensive market knowledge on the markets you are working in alongside your Buyers Agent.
  • Request, review and approve rental appraisals, and upload to the CRM.

Contract to settlement

  • Create contracts in Zoho Sign and issue to clients for signing. Attend to variations as required.
  • Facilitate the Building and Pest process: inspector introductions, booking appointments, reviewing reports, identifying major and minor defects and associated costs.
  • Understand B&P findings well enough to communicate them confidently and effectively, and record results and client responses accurately in Zoho.
  • Understand due diligence clauses and what has to be met, by when.
  • Track contract dates, key milestones, settlement dates and all conditions, updating the CRM accordingly.
  • Facilitate the Pre-Settlement Inspection and lock in the video call.

Client liaison

  • Make contact when a deal is allocated: provide updates, connect clients with relevant third parties, and follow up on finance status and settlement.
  • Communicate effectively with clients, legal teams, brokers, conveyancers, selling agents, property managers and third party services.
  • Follow up all stakeholders to ensure timely updates and smooth communication.
  • Introduce clients to Property Managers and collaborate on the actions needed for a successful settlement.
  • Coordinate quotes and bookings for small cosmetic works, paint, carpet and similar, with clients, Property Managers and trades when BA Assistants are under the pump.
  • Send clients a review request post settlement.
  • Ensure clients feel supported and have clarity throughout the entire deal process.

CRM and administrative support

  • Manage deals and client records clearly throughout the deal flow, contract to settlement, within Zoho.
  • Handle back end administration: Zoho records, tasks, trackers, activities, communication and general workflow.
  • Screen email inboxes for deal and offer related communication requiring attention and notify the relevant personnel.
  • Draft and send introductory emails to the team on behalf of the BA.
  • Assist with administrative tasks within the deals module.
  • Maintain a working understanding of client profiles and Zoho records.
